More than a chatbot

It doesn't just answer. It works as an AI agent for your council.

Connect FastBots to the tools the clerk already uses, and a resident's question becomes a logged enquiry, a hire request or a conversation with the office.

  1. STEP 1

    Captures the enquiry

Collects a name, email and the question for hall hire, allotments and general enquiries, and only what you ask for.

  2. STEP 2

    Sends it to your tools

Passes enquiries to the clerk's inbox or a shared spreadsheet through Zapier or Make, so each one has an owner.

  3. STEP 3

    Shows the next step

Shows your hall booking form as a button. With Zapier MCP connected, it can add a hire request to your bookings sheet during the chat.

  4. STEP 4

    Hands over to the clerk

When a resident needs a person, the clerk can step into the same chat with Live Chat during office hours.

Live Chat is on Business plan and above, and buttons are on paid plans. Actions during the chat use Zapier MCP and need a quick setup in your Zapier account.

FAQ

Questions town and parish councils ask us

Can it deal with bins, council tax or planning?

It explains who does what and links to the right service. Bins and council tax usually sit with your district or unitary council, and planning decisions with the planning authority. It can share your council's published comments on an application, but it doesn't submit reports or change anyone's account.

Does it replace the clerk?

No. It handles the routine questions about meetings, facilities and contacts, so the clerk spends less time on repeats. Formal complaints, information requests and anything needing a council decision still go through your usual routes, and the bot explains how to use them.

What about residents' personal data?

You decide whether the bot collects anything at all. Many councils start with a public information bot that asks for nothing. If you add the enquiry form, keep it to a name and email, and include it in your own data protection checks before you go live.

Can residents who find websites hard still use it?

Yes. Residents can type in plain English, or switch on voice to talk to the bot and hear its answers. It also replies in around 95 languages. Voice is included in the free trial and on Business plan and above. Keep your phone number and office hours easy to find too.

Can the clerk take over a conversation?

Yes. With Live Chat on Business plan and above, the clerk can step into the same chat during the hours you set. The resident fills in a short contact form first, and outside those hours the bot shows the usual ways to get in touch.

Can it handle hall hire and allotment enquiries?

Yes. It answers from your hire terms and allotment rules, and collects a name, email and the date someone wants. On paid plans it can show a button to your booking form. The clerk still confirms every booking.

What do we get in the free trial?

14 days with 1 chatbot and 200 message credits, with no credit card required. That's enough to train it on your meetings, facilities and contact pages and test it with the questions the clerk hears every week.

How do we keep agendas and minutes current?

Add new agendas and approved minutes after each meeting, or retrain the bot on your website. On Business plan and above, auto retrain can refresh your website content daily, weekly or monthly, and you can see which questions it couldn't answer.
